        • We do have a general idea of when we will be in trouble, and that’s when we go down to 1,000 members.

    • We have approved a Constitutional Convention on Oct. 25 from 4-8pm at Westminster House.
    • Likely best way to organize this convention is to have one grouping of amendments be discussed for each hour. We can advertise when each grouping will be discussed for our members, and task at least one EC person to take on one hour to walk people through amendments (also ask for help from Const. & Bylaws Committee).
    • We need to discuss how members can propose changes to the language in amendments; should we try to facilitate this online when we send out this summary guide or should we only allow for language changes during the Constitutional Convention?

New Business

  • New Steward Appointment in MIME:

      • Brian Zhang wants to be a steward. Kali and Nick had a conversation with him about steward roles and responsibilities.
        • Needs EC approval for interim appointment. – Done

  • Blue Cards: (less than 1 minute)

      • Need to order probably another 100 blue cards. – Approved

  • AFT Discount Cards: (2 minutes)

      • AFT finally updated our member discount IDs and sent us about a thousand new cards for all current members. Mailing these would be a real pain, so one idea:
        • We could use this as an opportunity to get members to come to the office. Put out an AME in October saying “Get your AFT Discounts” and tell people they can get their cards by coming to the office or by attending the GMM.
        • Deal with this at Oct 2 meeting

  • Membership Blitz: (5 minutes)

      • Once orientation season is over it’s time for our first membership blitz. We’re doing office visits, house visits, and a Hustle campaign (language TBD; one for members, one for non-members).

  • AFT-OR President’s Conference: (2 minutes)

      • Each year AFT-OR hosts a conference gathering all local presidents and up to two EC officers for a check-in on the year and a review of AFT-OR’s strategic goals.
      • Nov. 3, 9-5 in Crowne Plaza Lake Oswego.
      • We have to register at this link: https://leadernet.aft.org/webform/aft-oregon-2018-presidents-conference
      • Erin, are you available to attend? Who else from the EC would like to participate?
        • Possibly Emory and Miki. Revisit next meeting.

  • Westminster House: (2 minutes)

    • Stone Soup volunteers on 2nd and 4th Tuesday of month, two-hour shifts starting at either 3pm or 5pm.
    • Tea time for grads.

Future Business/Reminders (5 minutes)

  • Staff Transition Plan:

      • Is everything getting done on time?

  • Clint: Ask for an extension for the audit.
  • Delegate an item/category to each volunteer.

      • Do officers need to do more?
      • Does temporary help need to be hired?

  • Website improvements: How are changes coming along?

    • Website has been backed up.

  • Fall BBQ Recognition: We want to visit the idea of having CGE members “recognized” for appreciation that our VP Social Justice thought of at the end of the year.

      • Micknai will share materials for recognition
      • Wall of recognition? Big board with markers – have some pre-written and then allow people to also add some at the BBQ.

  • Miki will come up with questions to include in the AME that Val is creating
  • First Full EC Meeting: We should spend time at the beginning with each of us describing our officer roles to each other so that we are all on the same page and understand what is expected of each other.

      • I think we also need to go over group agreements about how we should operate in meetings and creating a culture of care, as well as have a longer discussion on why each person wanted to be in the EC, the direction they want CGE to go and their role in that direction as @an EC member.

  • This questionnaire is for all EC officers to fill out prior to our first full meeting together, and we’ll be able to share our responses with one another to help facilitate this first full gathering: https://goo.gl/forms/HIIHuSloqRwKHmlJ2

  • Screen Printing Shirts: Erin ordered supplies (using her money) for everything but shirts.

      • How do we want to handle the shirts?

    • This is for steward retreat

    • Reservation made for Lion’s Shelter at Avery Park (Rotary Shelter under construction)
    • Oct. 26, 6-10pm.
  • Organize files on computer

  • HIAC: Sep. 25 4pm Kerr 236.
  • Entering new membership cards

    • Nick volunteers to help
  • Membership Audit

    • Post orientations and fall membership blitz, we need to do a more thorough audit of all our member cards. We need to go through every card and cross-check whether they are listed as a member or not, and make sure our list of membership has a card with each name.
  • Thoughts on Direct Deposit for certain items
    • Thoughts on direct deposit for staff pay or other recurring CGE expenses? APPROVED
